Main purpose of the job
  • Support the Head of Flight Operations (HoFO) in managing the day-to-day functions of the Flight Operations Department, Crew rostering and administration.
  • Support the Head of Flight Training (HoFT) in ensuring all trainings are conducted in strict compliance with the DGCA rules and regulations and Quikjet Operations Manual.

  • Ensure advance planning and induction of crew to match the operational needs. Plan recruitment of DE/TRE/TRI/LTC/Captains/FO/JFO in accordance with the company HR guidelines and the qualification requirements in consultation with HoFO. To closely work with the HR department.
  • Draw up yearly and six-monthly/quarterly duty, training and leave plans for all flight crew for approval by HoFT and constantly monitor for ensuring crew availability at all the time for the company flights.
  • Advise HoFO in case of changes in the leave and training plans, anticipated or occurring in due course due to operations or non-availabilities of staff etc and proactively revise the plans submit for approvals.
  • Planning of medicals at various medical centres and their assignment on the roster with coordination with rostering department.

  • Responsible for planning and scheduling training in a cost efficient and timely manner for induction of new aircraft and for annual requirements.

MAIN PURPOSE OF THE JOB
Flight Dispatch Functions
  • The Executive is to ensure that all QO aircrafts are safely loaded/ Offloaded, load sheet are prepared on time, the documentation including the Load sheet, Dangerous Goods documents, loading instructions (LIR) are done as per the guidelines laid down by Ground Operations Manual and in compliance with DGCA and IATA regulations.
  • Perform flight Operations department functions.

KEY RESPONSIBILITIES OF THE JOB
Ground Operations
  • Ensuring Cargo is accepted, screened, built up for the flight and delivered as per the laid down procedures.
  • Inspect incoming cargo and check the import/export documentation to determine cargo contents, identification of hidden or suspected DG.
  • Ensuring the load sheet is prepared as per the load and trim requirements of the W & B manual and the DGCA requirements.
  • Monitor and supervise safe on load and offload of the aircraft by Ground handling staff.

  • Collation of all briefing documents and prepare the Trip Kit Folder and handing over the same to them.
  • Preparation and filing of the ATC flight plan, as per the existing procedures.
  • Timely revision of flight plans as and when required. Andensure the validation of ATC flight plan and its clearances, before departure of the flight.
  • Furnishing to aircraft, when aircraft is in flight, by appropriate means, with information which may be necessary for the safe conduct of the flight e.g., change in WX, New Notams etc affecting the flight and/or any other information that has changed or likely to change, from the last communication/briefing to the operating crew or from the time of departure of the flight/s.
  • Coordinating with MCC for refuelling and tanker-ring, if permitted as per Company policy.
  • Ensure that FIC and ADC clearances(numbers) have been obtained for all flights for the day and, Liaising, during his tour of duties, with ATS briefing units, AOCCs (Airport Operations control centres), IAF MLU etc of airports.
  • Ensure that the operating crew have done their pre-flight medical examination.
  • Before each flight, ensuring crew FDTL compliance through ARMS. Communication of next day roster of all the planned flights to crew.
  • Maintain close and pro-active coordination with internal departments of Quikjet involved in day-to-day operations. And informing all concerned departments (Engineering, Commercial, Ground Ops etc), if any time a restriction on load capacity of flight/s is known.

OCC Functions
  • Supervise the day-to-day Operations Control Centre (OCC) functions.
  • Carry out functions, as a part of the Operations Control Centre (OCC) for coordination of day-to-day flights operations.
  • Ensure that all activities are progressing as per the specified timelines to attain 100 % OTP (On Time Performance) and as per the timelines specified in the checklists based on the mandatory communication on the progress as per the OCC Checklist.
  • If any activity, of any department, is anticipated to impact the OTP, take appropriate actions to ensure the OTP is maintained.
  • In case of delays/anticipated likely delays to escalate/raise the issue to appropriate level, including escalation to managers/HOD, if required at the earliest by to ensure that there are NO delays in achieving the OTP or the delays are minimized to the extent possible.
  • Support OCC in its function especially in disruption management (unserviceability of aircraft /airport closure/weather etc).
  • Ascertaining from MCC of aircraft serviceability and MEL/s, if any. And communicating the same to all concerned.

  • Flight Watch
  1. Keeping abreast of communication from the aircraft either directly thru’ RT/ ACARS type or thru’ other sources.
  2. Obtaining WX for the route, destination airports and alternates and informing the operating crew through Flight Dispatcher/s, other aircraft, enroute ATCs, ACARS/ACARS type-communication (if equipped), if the information is likely to affect the flight/s and unless there is certainty that this information will be generally available to the operating crew based on the current airspace environment and /or throughvarious means on board the aircraft.
  3. Communicating and advising appropriate action to all concerned for delays actual or anticipated.

  • Flight Following
  1. Monitoring the progress of the flight/s and aircraft on ground.
  2. Keeping a track of aircraft movement till its final flight for the day.
  3. Communicating all concerned of any changes/delays etc.
  4. Taking appropriate action, any time the position of the flight is uncertain or not known at the expected time a position report/communication should have been received.

  • In the event of an emergency
  1. Double cross-check the emergency and record the details clearly including the time of the emergency.
  2. Initiate such procedures/action as outlined in respect to his/her duties , in the ERP (Emergency Response Plan/Checklist ) ; while avoiding taking any action that would conflict with ATC procedures; and
  3. Meticulously record all communication and action taken consequent to then activation of the ERP. Do not rely on trying to remember and take action with memory.
  4. Convey safety-related information to the pilot-in-command, if asked to do so by appropriate and empowered authority (Head of Flight Operations/ Director Flight Operations, Chief Pilot, Head of Training) that may be necessary for the safe conduct of the flight.
  5. Convey to concerned ATS unit/s and other agencies, only on specific instruction of Accountable Manager/ Emergency response Director Information related the flight and and/or any amendments to the flight plan that become necessary in the course of the flight.

  • Upkeep of Assets and Record Keeping
  1. Checking and upkeep of all company assets of OCC/Flight Dispatch sections i.e infrastructure & facilities. Reporting and prompt recording of un-serviceability or absence of any asset (Fax, telephones, internet connectivity, Jeppesen/s etc).
  2. During his/her tour of duties periodically checking the proper functioning and accessibility of the various software modules provided for certain his/her job-functions; such as, ARMS , FOS Software (RTOW). And, reporting of faults/bugs in them as soon as it becomes known.
  3. Maintaining company communication protocol as laid-down. Monitoring of company channel for any information passed by Quikjet aircraft and dissemination of the same to the concerned section department.
  4.   • Responsible to ensure that all open deferred defects are transferred on a real time basis into the maintenance software system and are in accordance with the CAME procedures and take necessary measures to rectify them within the permitted time.
  • Responsible to ensure that all spare orders are followed up for timely defect rectification.
  • Ensure that all completed maintenance documentation are despatched promptly to Technical Records Section.
  • Work closely with the Logistics and Ground Operations team for seam less availability of spares and support equipment’s for maintenance.
  • Monitor the ground utilisation of APU and GPU and ensure the same is kept to the lowest minimum. Maintain daily records for the same.
  • Monitor the man-hour and material utilisation of the contracted maintenance agency and provide daily report to CAM.
